The Smart Tags icon is displayed when the cursor is placed on the word or phrase. The Notes support of Smart Tags is designed to take a set of actions for names in a Word document. Clicking on the Smart Tag icon presents a list of actions that can be taken in Notes like sending that person an email, or sending a meeting invitation, or opening their Person Document from the local NAMES.NSF database.

Using Smart Tags with Notes 7

The Notes 7 client supports Smart Tags. Smart Tags are a Microsoft standard for the Office products (Word, Excel, etc.) that allow actions to be associated with a word or phrase. The Smart Tags icon is displayed when the cursor is placed on the word or phrase. The Notes support of Smart Tags is designed to take a set of actions for names in a Word document. Clicking on the Smart Tag icon presents a list of actions that can be taken in Notes like sending that person an email, or sending a meeting invitation, or opening their Person Document from the local NAMES.NSF database.

Below is an image of a Word document that has several names. Notice how the names are underlined with a dotted line. These are the Smart Tags.



The Smart Tags icon is displayed above a tagged name when the input cursor is placed on the name.

Click the Smart Tag icon to display a context menu of actions to perform with the name.



There is no setup required in Notes 7 to use Smart Tags. However, each Office application that use Smart Tags will require proper configuration.


Tip
Smart Tags Only Work with Certain Applications


Smart Tags only works with the MicroSoft Office 2003 and MicroSoft Office XP applications. The Lotus Notes 7 Help refers to the use of Microsoft Word, however other Office applications may also work like Excel and Outlook.







Setting Up Microsoft Word to Use Smart Tags


Follow these steps to configure Microsoft Word XP to use Smart Tags:

  1. Start Word and choose Tools | Options... from the menu.
  2. In the Options dialog on the View tab, check to select the 'Smart tags' option as shown in the following image.

  3. Click [OK] to close the Options dialog.
  4. Choose Tools | AutoCorrect Options... from the menu.
  5. In the AutoCorrect dialog, click to open the Smart Tags tab. Place a checkbox next to 'Person Name (English)' and 'Person (Lotus Notes Recognizer)' options. The 'Person (Lotus Notes Recognizer)' option is only available when Notes 7 is installed on the computer.

  6. Click [OK] to close the AutoCorrect dialog.


Tip
If Person Name (English) Does Not Appear in AutoCorrect Options


Follow these steps i If 'Person Name (English)' does not appear in the list of Smart Tags Recognizers:

  1. Open the Control Panel and start Add or Remove Programs.
  2. Select Microsoft Office and click [Change].
  3. Choose 'Add or Remove Features' and click [Next].
  4. Choose advanced customization and install the following features:
    • Office Shared Features\Proofing Tools\English (or your language in use)
    • Office Tools\Smart Tag Plugins\Name Smart Tag Plugin
  5. Click [Update] to install these features if they were not originally installed.






Using Smart Tags in Microsoft Word


Smart Tags will recognize a person's name when it is typed in. Smart Tags recognizes a person's name based on the English dictionary (or whatever language was chosen.) Name recognition is performed by Word. The name is not looked up in the local address book (names.nsf) or the Domino Directory (on the server). If a name is not recognized and Microsoft Outlook is used on that computer than sending an email to that name will allow the name to be recognized in the future (see the Microsoft technote below).

It also will recognize any name in abbreviated format (with a forward slash) like John Smith/IBM. However, it does not recognize a name with an organizational unit like John Smith/Dallas/IBM.
